RESPONSIBILITIES
I. Reception
- Screen visitors and guests by checking USDA badges or reviewing approved guest lists when badge access is unavailable
- Welcome guests and visitors with a friendly, professional demeanor and clear communication
- Direct visitors to sign in and sign out and issue and track visitor passes
- Guide screened guests to the appropriate department, conference room, or meeting space
- Notify USDA points of contact upon guest arrival and escalate to a designated Board of Directors member when needed
- Answer the front desk phone and connect callers to the appropriate USDA point of contact
- Route calls and onsite personnel to the appropriate USDA staff member
- Deliver excellent customer service that creates a positive experience for visitors and staff
- Manage elevator card issuance and tracking
- Assign lockers to staff and replace locker batteries as needed
- Reset locker codes as needed
- Coordinate meeting room reservations and room configurations as needed
- Keep the front desk neat, organized, and welcoming
- Maintain a professional appearance and presence at the front desk
- Retrieve packages and boxes left outside the front office doors
- Accept deliveries and sign for packages when mailroom staff are unavailable
- Restock mailroom supplies monthly and replenish wipes in open office areas as needed
- Provide quarterly supply lists to the Board of Directors for cabinet replenishment
- Lift packages weighing up to 25 pounds
- Use a government laptop in compliance with federal information technology requirements to perform official duties, including responding to email inquiries
- Update Minneapolis email addresses and phone listings as needed
- Monitor the Minneapolis Facilities mailbox and forward messages to the appropriate Board of Directors member
- Forward building-wide event emails to the Minneapolis email group as needed
- Update digital signage displays as needed
- Ensure emergency binders are reviewed and updated quarterly
- Initiate the InformaCast announcement system during emergencies
- Replace presidential portraits at the front desk as needed
REQUIRED KNOWLEDGE, SKILLS, & ABILITIES
- Ability to follow specific, detailed instructions
- Skill in the use of office equipment (e.g., phone, computer, etc.)
- Physical ability to lift packages that weigh 25lbs. or less
- Ability to communicate verbally and in writing
EDUCATION
- High school diploma or equivalent required
- Undergraduate degree preferred
