RESPONSIBILITIES
- Deliver clerical support (e.g., light typing of recurring litigation documents, etc.)
- File records alphabetically, numerically, or chronologically
- Retrieve documents (e.g., letters, memoranda, reports, pleadings, etc.)
- Sort incoming mail and route items appropriately
- Assemble outgoing mail by stuffing envelopes, affixing postage, and packaging bulk items
- Support front desk operations by managing the telephone switchboard, transferring calls, taking messages & providing general information
- Operate copiers, scanners, and media duplication equipment
- Enter data into case management and budget tracking systems
- Complete occasional courier runs to the courthouse
- Restock office supplies, including lifting items up to 25 lbs
- Support administrative and data functions across assigned program areas
- Collaborate effectively with staff at all levels and meet deadlines in a team-based environment
REQUIRED KNOWLEDGE, SKILLS, & ABILITIES
- Knowledge of specialized terminology used in legal and administrative contexts
- Skilled in word processing, data entry, and generating reports and form letters using office software
- Ability to review, analyze, and update records across multiple data sources and secure databases
- Ability to perform online creation, modification, and verification of records with a high degree of accuracy
- Ability to merge mailing lists with templates and manage bulk document processing tasks
- Ability to schedule appointments, manage inquiries, and provide case-related information to stakeholders
- Strong communication and organizational skills
PREFERRED EXPERIENCE
- Experience supporting legal, court, or administrative operations
- Experience working with government agencies or in a federal legal environment
EDUCATION
- High school diploma required
- Undergraduate degree preferred
