RESPONSIBILITIES
- Maintain Soldier medical and dental records in accordance with Army Regulation (AR) 40-66
- Label files, output products, and storage media based on classification level
- Safeguard medical record information and share it only with authorized individuals with a valid need-to-know
- Create medical and dental records for incoming, current, and exiting Service Members
- Establish new accession medical records within 14 calendar days of receiving enlistment orders
- Process records in the Health Readiness Records (HRR) module (e.g., scanning, indexing, and labeling)
- File hard copy record updates after uploading and indexing documents in HRR
- Perform quarterly inventories of Service Member medical and dental records
- Review records for completeness before Basic Military Training, schools, transfers, discharges, retirements, and Medical Readiness Events (MREs)
- Prescreen Service Member records for scheduled MREs to identify medical/dental issues impacting deployment eligibility
- Complete prescreening results no later than five calendar days before each scheduled MRE
- Maintain current contact info for medical and dental offices and hospitals to support case updates and record requests
- Assist Service Members in coordinating and scheduling appointments with medical and dental facilities
- Participate in monthly eCase reviews led by the Deputy State Surgeon (DSS) to evaluate open cases and receive actionable items
- Submit uploaded and indexed case management documents to Medical Command (MEDCOM) and the MEARNG medical records custodian
